Sticky Notes on the Flow Canvas

A sticky note is a piece of text you place directly on the flow canvas: feedback from the business, the reason a branch exists, a reminder to come back to a node. Notes are part of the flow, not part of what it does, so nothing you write in one affects a conversation.

Sticky notes are available in every flow type. A note is not a node: it has no place in the node palette, no ports and no configuration panel.

📝 Note: This is annotation, not review. A note has no assignee, cannot be resolved, carries no comment thread, and nobody is notified that you left one. If a flow needs sign-off, agree that process outside the designer.

Adding a note

There are two ways to place one, and they differ only in where the note lands.

From the canvas

Right-click an empty part of the canvas.

1. Add Sticky Note: The heading of the menu.

2. The colours: Yellow, Pink, Orange, Purple, Green and Blue. Choose one and the note appears at the point you right-clicked, in that colour, ready for text. Colour is the only choice made here; bold, italic and text size are set afterwards on the note itself.

From the right rail

The note icon in the designer's right rail, below the eye icon, has the tooltip Add Sticky Note.

2. The new note: Placed in the centre of the canvas. Clicking the icon repeatedly steps through the palette in order, so consecutive notes come out in different colours.

Writing in a note

A new note opens in input mode already, showing the placeholder Type your note.... Type, then click anywhere outside the note to close input mode and keep the text.

1. The note body: Up to 1000 characters.

2. The toolbar: Available while you are typing and whenever the note is selected.

To edit a note later, double-click it. A single click selects it without opening input mode, which is what lets you drag a note without changing its text.

Colour, style and deleting

Click a note once to select it. Its toolbar appears above it in two rows.

1. Colours: The same six as the right-click menu. Changing the colour of an existing note is done here.

2. Delete: Removes the note.

3. Bold and 4. Italic: Applied to the note's text.

5. Text size: Three sizes, small to large.

⚠️ Warning: The delete icon removes the note immediately, with no confirmation and no undo. Anything written in it is gone.

Moving, resizing and layering

Drag a note from anywhere on its surface to move it, as long as it is not in input mode. Drag its corner to resize it.

Notes are drawn behind the nodes and the links, so a note parked under part of the flow hides nothing. The trade-off is that a link crossing a note crosses its text as well, and clicking the note at that point selects the link instead, so leave clear canvas around a note you expect to edit often.

Notes support copy and paste like other canvas items, which is the quickest way to reuse a long note across flows.

Notes in a published project

Notes travel with the flow. They are included in project and flow exports, so a flow exported from one environment and imported into another arrives with its annotations intact.

A note added in the draft appears disabled in the published flow: it is visible and readable there, and it is edited in the draft.
